Registration Information
The online registration system requires that you have a SnapCode to log into the system. SnapCodes are provided for new enrollees (including incoming kindergarten students) upon completing an in-person registration process at the District Office, 841 West End Court, Vernon Hills.

- Students New to Hawthorn District 73: Registering a new student in Hawthorn District 73 requires that a parent or guardian appear in person with documents verifying residency in District 73 as well as other information pertaining to the student being registered, as outlined later in this webpage. Following successful completion of the in-person process, parents also complete an online process. New student enrollment is completed at Hawthorn District Office, 841 West End Court, Vernon Hills (847-990-4200).
- Incoming Kindergarten Students: Children who turn 5 years of age on or before September 1 are eligible to attend kindergarten during that year. (For example, children turning 5 by September 1, 2012 are eligible for Kindergarten during the 2012-2013 School Year.) The enrollment process requires the parent/guardian to make an in-person visit to the Hawthorn District Office, 841 West End Court, Vernon Hills, to provide appropriate documentation as outlined later in this webpage. Parents must then complete an online registration process. Students also undergo a quick diagnostic screening prior to classroom placement. The Kindergarten Registration Season for 2012-13 began with the Parent Information Meeting on Thursday, January 26, 2012. In-person registration begins on February 6 with the lottery deadline set for 4 p.m. on Friday, February 17, 2012. - Students Already Attending Hawthorn Schools: Each spring, parents must verify and update information on each student and submit fees for the following school year. Families of all continuing students entering Grade 3 and Grade 6 are also required to verify residency by providing copies of appropriate documentation. The 2012-13 continuing student registration is expected to begin in April. Parents will be provided with Snapcodes and login information for completing the online process at that time. All students not properly registered by July 1 will be dropped from the enrollment records, and will therefore need to complete a longer in-person registration process, which includes providing documents to verify residency in the District.
In order to register a student, a parent/guardian must provide documentation verifying residency in Hawthorn District 73 as well as documentation related to each student. For more complete details and direction, please refer to the complete registration packet, which is available at District Office (847-990-4200), or contact the Registrar at 847-990-4200. In general, Hawthorn requires the following documents:
Residency Verification
Illinois law (105 ILCS 5/10-20.12b, 105 ILCS 5/14-1.11a and additional) requires that students attending District 73 be residents of this district. Generally, a student must live with a parent or legal guardian who resides within our district and possesses appropriate custody documents (as provided to the District). At the time a student is first registered with the district, a parent/guardian must appear in person to provide documents showing proof of residency. Continuing students entering grade 3 and grade 6 must also provide residency documentation. These follow-up verifications may be completed by sending photocopies, unless otherwise requested by the District. District 73 may require any student to prove residency at any time. The Residency Verification form outlines the documentation needed to verify residency. Please refer to this checklist when collecting your documentation. In general, Hawthorn requires three types of documents to verify residency:
- One item must be a parent/guardian’s photo identification card (driver’s license, state-issued ID card, passport, consulate card, etc.)
- One item must be a mortgage document, rental agreement or the like
- One item must be a recent document showing name and address, such as a property tax bill, gas bill, homeowner/renter insurance policy statement, vehicle registration card, public aid/medical card
Student Documentation
In addition to verifying residency, the parent/guardian must also provide documentation related to each student. Please refer to the complete registration packet, which is available at District Office.
- Original, certified, state-issued birth certificate (hospital certificates are not acceptable)
- Small photo of child to be kept at school
- Pediatrician’s name and telephone number
- Names and telephone numbers of two local emergency contacts
- Daycare and sitter addresses and telephone numbers, if applicable
- Fee payment - see below
- Students transferring from another school district are required to provide an Illinois Transfer Letter (available at District Office) as well as a copy of the student’s latest report card.
- Proof of Physical Exam/Immunization: Parents must provide a recent physical form showing appropriate immunizations in order to enroll all incoming Kindergarten students, students entering 6th grade, and students transferring into the District. Students entering 5th grade must show up-to-date vaccines. Kindergarten families may provide this information as soon as possible prior to the start of the school year or as soon as possible after receiving the 5-year-old check up. In all cases, the state requires that students who are not in compliance by October 15 be excluded from school. Please sign and complete page 2. Please keep a copy for your records.
- Proof of Dental Exam: The State of Illinois requires that students in Kindergarten, 2nd and 6th grade have an Illinois Dental Exam form on file.
- Proof of Vision Exam: The State of Illinois requires that students entering school in Kindergarten (or grade 1) or transferring from out of state have an Illinois Vision Exam form on file.
- NEW REQUIREMENT - Tdap VACCINATION: Beginning with enrollment for fall 2012, any child entering 6th, 7th or 8th grades and through high school must now show proof of receiving one dose of Tdap (defined as tetanus, diphtheria, acellular pertussis) vaccine regardless of the interval since the last DTaP, DT or Td dose. Make sure you have this immunization before school starts in the fall.

Fees may be paid online with a credit/debit card. To pay fees with cash/check, please download and print out the 2011-12 Fee Payment form or the 2012-13 Fee Payment form, whichever is appropriate. Please bring or send the completed form along with your cash or check (made out to Hawthorn District 73) to the District Office, 841 West End Court, Vernon Hills, IL 60061. Instructional Fees for the 2012/13 School Year:
- $75 for Kindergarten/PreK/Early Childhood/Special Services
- $110 for grades 1-5
- $150 for grades 6-8
- Additional Music Fees: $150 for Band and Orchestra students in grades 5-8 (4th grade students starting band/orchestra will be asked to pay the $150 fee when they sign up for instruments in September); $50 for Chorus students in grades 6-8
Instructional Fees for the 2011/12 School Year*:
- $43 for Kindergarten/PreK/Early Childhood/Special Services (Fees for 2012/13 are $75)
- $110 for grades 1-5
- $150 for grades 6-8
- Additional Music Fees: $150 for Band and Orchestra students in grades 5-8 (4th grade students starting band/orchestra will be asked to pay the $150 fee when they sign up for instruments in September); $50 for Chorus students in grades 6-8
*2011-12 fees were increased to align more closely with other Districts in order to close a budget gap.
Food Service Ticket Prices
For the 2011-12 school year; Menu information is posted on Sodexho Food Service webpage:
- Breakfast - $1.20
- Lunch - $2.50*
- Milk - $0.40
- Juice - $0.60
- Water - $1.00
Since we have moved away from paper tickets, food service can now be purchased in any amount. Simply fill your student account with whatever amount you wish, and the new meal management system will deduct the appropriate dollar amount from the balance. *Note that the federal Healthy, Hunger-Free Kids Act of 2010 set the required range for meal ticket prices. Effective July 1, 2011, schools participating in the National School Lunch Program must adjust prices to the new target minimum price currently set at $2.46. Based on that directive, Hawthorn increased lunch prices from $2.20 to $2.50.
Federal School Breakfast/Lunch Program
Hawthorn participates in the federal free and reduced-price lunch and breakfast program. Students unable to pay full price for meals may be eligible for free or reduced-price breakfasts and lunches. Families must apply each year; applications are usually available beginning in late August or September. Families who qualify may also be eligible for an instructional fee waiver.
